What a construction RFI form builder does
A request for information (RFI) is a formal written question from one party on a construction project, usually the contractor, asking the design team to clarify something in the drawings, specifications or contract documents. This builder formats the details of your question into a clean, editable RFI form you can download as a PDF or text file.
RFIs exist because drawings and specifications are never perfect. Dimensions conflict, details are missing, specified products are discontinued, or site conditions differ from the survey. Asking in writing, with the exact sheet and revision referenced, creates a record of the question, who answered it and when. That record matters when time or cost claims are discussed later.
The form records a request. It does not send anything, and a response on an RFI is not by itself an instruction to change scope, cost or time. Those changes go through your contract's change process.
How to use the construction RFI form builder
- Enter the project name, RFI number, the sender's organization and the recipient's organization.
- Set the date issued and the date a response is requested by. The draft panel shows a countdown (days left, due today or days overdue) computed from today's date on your device.
- Write a short subject line, list the drawings or specification sections with their revisions, and add Attachment references: file names or drawing numbers, one per line, as text only.
- Write the question in Information requested, then add your proposed resolution (optional) and any potential cost or schedule impact. Leave the response field empty for the design team, or fill it in to record an answer.
- Use Add RFI to start the next one in the session log. The number continues automatically (RFI-001, RFI-002 and so on), the project and parties carry over, and each entry has an Open, Answered or Closed status. Click a number in the log to edit that RFI.
- Export the current RFI with Download PDF, Word (DOCX), Text file or Copy text, export the whole log with Log CSV, or Save inputs as JSON to reopen the session later. Nothing is sent.
Worked example
RFI-001 can reference drawing A-102 revision C and ask the design team to confirm a conflicting opening dimension.
RFI template fields and what to put in each
A good RFI can be answered by someone who has never visited the site. Every field below appears on the generated form, in this order, followed by blank lines for the respondent's name and response date.

How to write a good RFI
The fastest RFIs to answer ask one question, point to the exact location in the documents and offer a solution the designer can accept or reject. Compare these two versions of the same question.
Weak: "Door frames on level 1 are unclear, please advise." Better: "Door schedule on A-601 rev C lists D-104 as a hollow metal frame, but detail 4 on A-501 rev B shows an aluminum storefront frame. Please confirm which applies. We propose the hollow metal frame per the schedule. Frames must be ordered by March 12 to maintain the schedule."
- Ask one question per RFI so each can be answered and closed on its own.
- Check the documents, addenda and earlier RFI responses first. Many RFIs are answered by information already issued.
- Quote sheet numbers, detail numbers, grid lines and revision letters.
- Attach a marked-up sketch or photo when location or geometry matters.
- Give a realistic response date tied to a real schedule need.
- State potential cost or time impact early. It is easier to raise than to add later.
RFI vs submittal vs change order
Contractors and designers use several related documents during construction. They are easy to mix up, and using the wrong one can delay a decision or weaken a claim. The AIA document numbers below refer to the widely used AIA contract forms; your contract may use different forms or names.

RFI numbering conventions
The simplest system is a single sequential number for the whole project, such as RFI-001, RFI-002 and so on, with leading zeros so the list sorts correctly. Never reuse a number, even if an RFI is withdrawn; mark it void instead.
Larger projects often add a prefix for discipline or trade (for example RFI-A-012 for architectural or RFI-S-004 for structural) or for building and phase. Follow-up questions on the same topic are commonly numbered as a revision or suffix of the original, such as RFI-014.1, so the thread stays together. Whatever you choose, agree it at the preconstruction meeting and keep a log with issue date, due date, response date and status.
Tracking several RFIs in the session log
The builder keeps a log of every RFI you create in the session. Add RFI starts a new form with the next sequential number (it keeps your prefix and zero padding, so RFI-A-012 is followed by RFI-A-013), carries over the project name and parties, and sets the issue date to today. Each entry has a status of Open, Answered or Closed and a countdown from today's date to the requested response date.
Log CSV exports the whole session as a spreadsheet with one row per RFI: number, subject, from, to, dates, days remaining for open items, status, references, attachments, question and response. Common mistakes to avoid
- Asking several unrelated questions on one RFI. One part gets answered and the rest is forgotten.
- Referencing a sheet without its revision. The answer may relate to a drawing that has since changed.
- Using an RFI to request a change or approve a substitution. Use your contract's change or substitution procedure.
- Treating an RFI response as authorization for extra cost or time. That needs a change order or directive.
- Setting an unrealistic response date, or none at all. State when you actually need the answer and why.
- Sending RFIs whose answer is already in the documents or addenda. Check first; unnecessary RFIs slow everyone down.

What does RFI stand for in construction?
RFI stands for request for information. It is a written question, usually from the contractor to the architect or engineer, asking for clarification of the drawings, specifications or contract.
What should be included in an RFI?
A unique number, project name, sender and recipient, dates issued and required, a subject, the drawing and specification references with revisions, a clear question, an optional proposed solution, any potential impact and space for the response.
What is the difference between an RFI and a submittal?
An RFI asks what the documents mean. A submittal shows how the contractor plans to meet them, using shop drawings, product data or samples for the design team to review.
Does an RFI response change the contract?
Not by itself. If the answer changes cost, time or scope, it should be formalized through the contract's change process, such as a change order or construction change directive.
How long does an architect have to respond to an RFI?
It depends on your contract and specifications, which often set a response period. If none is stated, agree one at the preconstruction meeting and put a realistic requested date on each RFI.
How should RFIs be numbered?

Can I manage more than one RFI at a time?
